Rate Confirmation Checklist Before You Roll

A fast Rate Con review should answer two questions: “What can I earn?” and “What can make me lose part of it?” Use this checklist before the truck starts moving.

Have the actual Rate Con?

Upload it and check the money terms in the document itself.

Money

Confirm total rate; linehaul and fuel if separated; detention; TONU; layover; lumper; extra stops; driver assist; storage/redelivery; quick-pay fee; and any caps.

Deductions

Search for tracking deductions, check-call deductions, late pickup/delivery charges, paperwork penalties, claims offsets and broad chargeback language.

Schedule

Verify pickup and delivery dates, appointment times, FCFS vs fixed appointments, stop order, and whether the schedule makes sense after deadhead and available hours.

Proof

Identify every document or timestamp that may matter: signed BOL/POD, arrival/departure times, seal numbers, lumper receipts, tracking, photos, and broker approvals.

Deadlines

Extract detention notice timing, check calls, POD submission deadline, lumper submission deadline, billing instructions and any other time-based requirement.

Questions before signing

Anything missing or ambiguous that materially affects money should become a written broker question before the truck commits.

Frequently asked questions

How long should a Rate Con review take?

A good process can be fast if it is consistent. Focus first on money, deductions, schedule, proof and deadlines.

Should I review every page?

Yes. Important payment conditions can appear in instructions or fine print, not only beside the headline rate.

Can I use the same checklist for every broker?

Use the same categories, but do not assume the same terms. Each Rate Con can be different.
