POD Deadlines: The Load Is Not Finished When the Trailer Is Empty

Proof of Delivery paperwork can control how quickly a carrier gets invoiced and paid. Some Rate Cons also attach explicit deductions or administrative penalties to late or incorrect paperwork.

Have the actual Rate Con?

Upload it and check the money terms in the document itself.

Find the deadline before delivery

Do not wait until the load is complete to discover that the POD is due within a short window. Pull the deadline out of the Rate Con before pickup.

Find the exact destination

The document may require a specific billing email, document portal, TMS link or subject/reference format. Save that instruction with the load.

Check document quality before leaving

Make sure the POD/BOL is legible and contains the signatures, dates, times or seal information the load requires.

Keep proof that you submitted it

A sent email, upload confirmation or portal record can help establish when the paperwork was delivered.

Separate delivery from billing completion

Operationally, create a final load step: “POD submitted correctly.” The truck being empty does not mean the revenue cycle is complete.

Frequently asked questions

How fast do I need to submit POD?

Use the deadline stated in your Rate Con or broker instructions. Deadlines vary.

Can sending POD to the wrong email matter?

Yes if the load instructions specify a particular submission method. Follow the written destination.

What if the document has no POD deadline?

Do not invent one. Use the broker's written billing instructions and confirm anything unclear.
